Fall 2025 – Spring 2026 Returners Housing Reapplication and Assignment Process
We are excited to see you back on campus and we are looking forward to an exciting Spring 2025 semester. We are preparing for Fall 2025 and it is time to make a plan for housing. As a current, on campus resident, we invite you to live on campus for the next academic year. Due to high demand, guaranteed first year student housing, limited space availability, and student feedback, our process to reapply for on campus housing has changed. Please carefully read the steps below.
- Step 1: Make a Plan
- Current students who will be enrolled in Stephenville classes for the Fall 2025 semester are eligible to submit a housing reapplication.
- Determine if on campus housing is the right choice for you. Returning students will be eligible to select from available rooms in Integrity Hall, Traditions North and South Hall, Texan Hall, Fireside, and Texan Village Apartments.
- Prepare to create a roommate group. Residents who want to live with preferred roommates will have to establish a roommate group and identify a roommate group leader. Everyone will need to submit their reapplication and accept roommate invitations to have a chance to live together based on space availability.
- Note: If you do not have preferred roommates, a roommate group is not required.
- Step 2: Register for the Lottery
- Log in to Duck Trax, anytime between January15th 10:00 a.m. to January 29th at 5 p.m., to submit your Fall 2025-Spring 2026 housing reapplication. The lottery system does not prioritize early submissions and there is no fee to submit your reapplication. All housing reapplications submitted during the January 15-29th window have a chance to be selected to choose from available rooms.
- During the reapplication, please submit housing preferences (these are your top three most preferred halls that you would like to live in, however, they cannot be guaranteed based on availability) and create roommate groups. This step also includes signing a legally binding housing contract.
- All members of the roommate group must submit their housing reapplication, during this window, to be eligible for the lottery.
- Note: Our new StarRez housing software will be used to give all returning students an equal chance to choose from limited on campus housing inventory. Students will receive notification if they have been chosen, through the lottery, to select a room by February 28th. Those not chosen, through the lottery, will have an opportunity to apply for a wait list.
- Step 3: Receive Lottery Number
- After registration closes, the system will assign a lottery number. This determines your order of selection. You will be notified, by email, if you were selected through the lottery to choose a room from available inventory by February 28th. If you are not selected, an email will be sent to you to confirm the information you submit based on the waitlist options you have selected during the reapplication process.
- Check your assigned lottery number and the time slot allocated to you for room selection.
- Step 4: Waitlist Option Page:
- In the case that you are not chosen for a lottery number/time slot, you can opt into a waitlist. This does not guarantee you a space on campus, however, housing availability frequently changes as cancellations occur and students on the waitlist often receive the option to live on campus. You can choose from the options below:
- o Option 1: Waitlist until May 15, 2025
- o Option 2: Waitlist until June 15, 2025
- o Option 3: Waitlist until July 1, 2025
- o Option 4: Waitlist until on campus space is available
- o Option 5: Decline the waitlist and pursue off-campus housing.
- After the date on your selected waitlist has passed, and you have not been notified of available on-campus housing, we will notify and remove you from the waitlist.
- Step 5: Research Available Options
- Review the list of available housing options (rooms or apartments) before your selection time.
- Consider factors like cost, proximity to campus, and compatibility with your preferences and your roommate group’s preferences.
- When your time slot opens, you will be able to select from rooms available within the system and assign your completed roommate group in to the room if space is available.
- Roommates will be assigned to the same timeslots together and any of the roommates can select the room spaces for the group.
- We encourage you all to be in good communications of what you are all wanting when selecting your rooms, if you are selected for timeslots.
- Note: Roommate groups must be finalized within the reapplication process. Groups cannot be changed or created once room selection begins or after a space has been chosen. Ensure all group members accept the group invite before selection begins.
- Step 6: Review and Save Confirmation
- Once you’ve chosen your room, review the details (room info., roommate info., etc.) and save the confirmation.
- Due to high volumes of students applying during this reapplication period, we will be focusing diligently on any technical issues that may arise. Please watch your email communications for any updates with the system during the reapplication process. This is also the purpose to the plan of having the reapplication being open for two weeks, so students have the time to reapply for housing.
