University Multimedia Requests and Policies

The Tarleton State University Office of Marketing and Communications has professional photography and video production capabilities within the Department of Multimedia Productions. The primary purpose of this department is to create professional, branded images and videos for projects and marketing materials produced by the Central Marketing and Communications office.

Multimedia Project Prioritization

In order to meet the demand of various multimedia requests while still providing a reasonable level of service to the University community, Marketing and Communications utilizes a set of guidelines for accepting university photography and videography requests.

Priority is given to major university events, including events hosted by the president, commencement and convocations, university celebrations, notable guests, one-time historic events such as groundbreakings, dedications, high profile award ceremonies and philanthropy efforts.

Secondarily, the multimedia production office takes requests for departmental and unit level marketing efforts and can assist in creating photo and video material for those efforts. Note that any requested assignment should be relative to the mission and advancement of the university as noted in the university strategic plan. In the event Multimedia Productions cannot fulfill a request due to staff availability, other ongoing projects, or limited relation to the university strategic plan, requesting departments will be encouraged to pursue freelance options. The guidelines below for multimedia requests are listed below in priority order:

Priority A – Photographed by Tarleton State University Full Time staff and Multimedia Productions student staff.

  • Assignments from the Office of Marketing and Communications
  • One-time historic events such as Groundbreakings, dedications, campus wide university celebrations
  • Tarleton State University magazine and university publication assignments
  • Major recurring university wide events (commencement, convocation, Homecoming, etc.)
  • Stock photography and videography of student and university life, campus environment, and other lifestyle and scenic shots
  • Photography/Videography related to local, regional or national news stories and major web page stories for media release
  • Assignments from the Office of the President
  • High-profile Alumni events
  • High-profile Advancement events
  • High-profile speakers and performances (visiting dignitaries, musical artists, high profile donors)
  • Fall, Spring, Summer semester Faculty and Staff headshot days

“High-Profile” events will be reviewed by the Assistant Vice President for Marketing and Communications as advised by university cabinet.

Priority B – Photographed by Multimedia Production Department students, unit marketing leads and freelance vendors.

  • Academic/Divisional Unit specific photo and video requests (Tarleton LIFE, nursing pinning, social work welcome to the profession.)
  • Student centric campus life events (Late night study break, Campus lighting, Grassburr fest)
  • Conferences, symposiums and other events. (Federal reserve banquet, REID Symposium, etc)
  • Luncheons and Receptions
  • Individually scheduled studio headshots

Freelancing – photo/video requests – Multimedia Production Request form

Units needing photography and videography services for their Marketing efforts have three options for pursuing these goals. They can contact Central Marketing with this request form, they can work through their unit MarCom lead if the unit has an in-house marketing partner, or they can hire student or professional freelance photographers or videographers. For information on what project requests central marketing fulfills, please see above.

Hiring Freelancers

Student Freelancers

Marketing and Communications maintains a list of recommended student freelancers that departments can hire for photographing campus events, marketing projects, or other photo/video needs. Departments may hire these student freelancers for their marketing projects provided that the student does not already hold an hourly position within the requesting unit/division. Please contact Joey McReynolds for a list of recommended student freelancers.

Student freelancers work at a set rate of $25 dollars per hour. For every two hours of photography, one hour of editing is added. Time is rounded up to the nearest hour for events/projects with non-even time requirements. For projects requiring off campus travel, travel time should be included in rate estimates and should begin from the student’s home campus. 

Ex. 1: A student freelancer takes event photography of a College of Education event in the TSC Ballrooms starting at 1 p.m. and ending at 2 p.m. 

$25 – 1 hour photography

$25 – 1 hour editing and delivery. 

Ex. 2: A student freelancer goes to Comanche county medical center to take a portrait of a student nurse in their clinical setting. They leave Stephenville campus at 1 p.m, arrive at 2, take photos for an hour, leave at 3, arrive back at campus at 4. 

$75 – 3 hours photography. 

$50 – 2 hours editing and delivery. 

Student freelancers can be paid via the one-time payment feature in workday. For questions on how to initiate a one-time payment in workday, please contact Sydney Taylor with Marketing and Communications.

Interested in being a student freelancer? You must meet the following criteria. 

  • You must have work samples featuring your photography and/or videography. 
  • You must be current student at Tarleton. 
  • You must be employed with a Tarleton marketing partner department and have a workday employee profile.

Pro Freelancers

Departments may also hire professional freelancers. Pro freelancers set their own rates and must be paid via purchase order in AggieBuy. 

Recommended freelancers have previously done work with the university, have access to brand assets created by university Marketing and Communications such as logos and stock footage/photography, and are pre-registered in AggieBuy with appropriate documentation on file.  Contact Joey McReynolds for a list of recommended options.

It is the responsibility of the HIRING DEPARTMENT to ensure any creative work meets university brand standards. You can find details on the Tarleton State brand at Tarleton.edu/brand

In the event creative work does not meet brand standards, it will be removed from university owned properties such as Tarleton.edu webpages, social media accounts, printed material and more. Any costs for revising creative work to meet Tarleton State brand standards will be incurred by the hiring department.
