PS-4: Personnel Termination

  • It is the responsibility of managers, account sponsors, and Human Resources to notify the Office of Innovative Technology Solutions (OITS) as soon as feasible in the event of an employee and/or vendor termination.  
  • Upon termination of employment or the end date for a sponsored account:  
    • The manager or sponsor must retrieve all Tarleton State University (Tarleton) information technology and all security-related organizational system-related property.  
    • The user’s account and access to Tarleton information resources must be disabled as soon as notified. 
    • Upon request from the applicable management, OITS will provide the supervisor, account sponsor, or other appropriate personnel with access to email, files and other electronic records created by the terminated employee that are stored on Tarleton information resources for a limited amount of time as needed for business continuity purposes.  
    • Access can be extended based on sufficient business need or for legal requirements/holds. Requests should document a justification for the extension and the length of the requested extension for evaluation by applicable OITS personnel.
